Privacy Policy

LEGEX LLP (“LEGEX,” “we,” “our,” or “us”) is an immigration and refugee law firm located at 16 Four Seasons Place, Suite 205, Etobicoke, Ontario M9B 6E5, Canada. Protecting the privacy and confidentiality of the people we serve is central to our work as lawyers. This policy explains what personal information we collect, how we use and protect it, and the choices you have. It applies to our website (legex.ca), to communications with our firm, and to the client-service systems we operate, including our secure client portal and internal practice-management applications.
1. Solicitor–client confidentiality comes first
Information you share with us in the course of seeking or receiving legal services is protected by solicitor–client privilege and by our professional obligations of confidentiality under the rules of the Law Society of Ontario. Those protections are stronger than, and are in addition to, anything described in this policy. Nothing in this policy reduces them.
2. Information we collect
- Contact information — name, email address, telephone number, and mailing address when you contact us, request a consultation, or become a client.
- Case information — information needed to provide legal services, which for immigration and refugee matters may include identity documents, immigration history, family information, and other details you provide for your matter.
- Billing information — invoicing details, amounts billed and paid, and payment records. We do not store full credit-card numbers on our systems.
- Website information — when you browse legex.ca, standard technical data (such as IP address, browser type, and pages visited) is collected through cookies and similar technologies, as described in section 6.
3. How we use personal information
- To provide legal advice and representation, and to manage client matters;
- To communicate with you about your matter, appointments, and deadlines;
- To check for conflicts of interest, as required by our professional rules;
- To prepare invoices, process payments, and maintain accounting records;
- To meet legal, regulatory, and law-society record-keeping obligations;
- To operate, secure, and improve our website and client-service systems.
We do not sell personal information, and we do not use client information for advertising.
4. Service providers we use
We use a small number of reputable technology providers to operate our practice. Where these providers process personal information on our behalf, they do so under their own security and privacy commitments, and only to provide services to us:
- Google (Firebase) — secure hosting for our internal practice-management application and client portal. Data may be stored on servers located in the United States.
- Microsoft 365 (Outlook) — the firm’s email and calendaring services, used for client communication.
- Intuit (QuickBooks Online) — the firm’s accounting and bookkeeping system. Billing information such as client name, invoice amounts, and payment status is recorded in QuickBooks so that we can maintain accurate accounts.
Because some providers store data outside Canada, personal information may be subject to the laws of those jurisdictions while stored there. We limit what is shared with each provider to what is needed for the purpose described.
5. Internal use of our applications
Our practice-management application (the “LEGEX CRM”) is an internal tool used only by authorized LEGEX LLP personnel. It is not offered to the public. Access is restricted to individual staff accounts, and activity such as the sending of client emails is logged and auditable within the firm.
6. Cookies and website analytics
Our website uses cookies and similar technologies, including Google Tag Manager, analytics tools, and a Meta (Facebook) pixel, to understand how visitors use the site and to measure the effectiveness of our outreach. These tools may collect your IP address and browsing activity on our site. You can limit or block cookies through your browser settings, and you can opt out of interest-based advertising through the settings offered by Google and Meta. Blocking cookies does not affect your ability to contact us or receive legal services.
7. How we protect information
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold, including encrypted connections (HTTPS), role-based access limited to authorized personnel, individual staff sign-ins, and audit records for sensitive actions. No system is perfectly secure, but we take the protection of client information seriously as a professional obligation, not only a legal one.
8. How long we keep information
We retain client files and accounting records for the periods required by the Law Society of Ontario and applicable law, after which they are securely destroyed or anonymized.
9. Your rights
Subject to solicitor–client privilege and legal exceptions, you may request access to the personal information we hold about you and ask us to correct it if it is inaccurate. You may also withdraw consent to uses of your information that are not required for us to meet legal or professional obligations. To make a request, contact us using the details below. If you have a concern we cannot resolve, you may contact the Office of the Privacy Commissioner of Canada.
10. Links to other websites
Our website may link to third-party websites, including government resources. We are not responsible for the privacy practices of other sites, and we encourage you to review their policies.
11. Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it was last revised. Material changes will be posted on this page.
